Excused Withdrawal for COVID-19 Affected Students

Irvine Valley College (IVC) recognizes that as a student you are making great efforts to continue your education in the face of uncertainty and challenges. Students and the colleges have all made admirable efforts to meet the challenges posed by the statewide emergency due to the COVID-19 pandemic. However, some students may still find it too challenging to complete their courses, given their individual situations.

We would like to announce that the State of California has extended Irvine Valley College and Saddleback College’s ability to allow students to withdraw from a course or courses and not receive a Withdrawal (“W”) grade if they need to drop after the drop without a “W” deadline. 

Students withdrawing due to the COVID-19 pandemic will receive an Excused Withdrawal (EW).* The extension is applicable for the Spring 2021, Summer 2021 and Fall 2021.  The chart below outlines the respective deadlines dated for EW submissions due to COVID-19 for each term

Students who are requesting an EW drop AFTER the above listed deadline for the respective term, will need to submit a general petition and provide evidence of extenuating circumstances. The COVID-19 form cannot be used for past terms. All submissions on the COVID-19 form after the deadline will be denied.

This is a substantially different type of grade for transfer purposes. An Excused Withdrawal (EW) is used to record a student’s withdrawal due to verifiable, documented reasons beyond the student’s control.

HOW DO I SUBMIT FOR THE EXCUSED WITHDRAWAL (EW)?

To complete the Excused Withdrawal Due to COVID-19 form, follow the instructions on the Admissions and Records Form page.

WHAT CAN I EXPECT IF I SUBMIT FOR AN EW?

COURSE COMPLETION/TRANSFER STATUS

An EW grade for a course indicates that a student did not complete the course, so there are no units earned. The EW grade does not count as an attempted enrollment and allows for a future enrollment in the same course. If a course or courses are needed for admission to a transfer institution, it is recommended that students meet with a counselor to discuss the implications before deciding to drop any course(s). Once processed, an EW grade is not reversible. EW grades are also not eligible for a refund.

FINANCIAL ELIGIBILITY

  • Students will not have their EW grade held against their completion ratio for financial aid.
  • Students may not be required to repay award disbursements that were based on their unit load prior to dropping all courses due to an Excused Withdrawal (EW) caused by the COVID-19 pandemic.
